Privacy Policy

Agreement

This Privacy Policy for Mayur Maed, doing business as RoleBolt ("we," "us," or "our"), describes how and why we might access, collect, store, use, and/or share ("process") your personal information when you use our services ("Services"), including when you:

  • Visit our website at https://rolebolt.com or any website of ours that links to this Privacy Policy.
  • Use RoleBolt. RoleBolt is a job-search and application workspace that discovers relevant job openings, ranks them against a user's resume, and uses third-party AI services to generate tailored resumes, outreach messages, and interview preparation for the user to review. Optional features allow RoleBolt to send outreach on the user's behalf and to prepare and submit applications to employers. Currently a free beta.
  • Engage with us in other related ways, including any marketing or events.

If you do not agree with our policies and practices, please do not use our Services. If you have questions or concerns, contact us at contact@rolebolt.com.

1. What Information Do We Collect?

Personal information you disclose to us. We collect personal information that you voluntarily provide when you register on the Services, participate in activities on the Services, or otherwise contact us. This may include:

  • names
  • phone numbers
  • email addresses
  • job titles
  • contact or authentication data
  • passwords
  • resume/CV files and their contents
  • employment and work history
  • education history
  • work authorization status
  • salary expectations
  • notice period and availability
  • job search preferences (locations, remote and relocation preferences)
  • professional profile links
  • job application answers and screening responses
  • demographic or equal-opportunity information (optional)

Sensitive information. When necessary, with your consent or as otherwise permitted by applicable law, we process the following categories of sensitive information:

  • information revealing race or ethnic origin
  • equal-opportunity and demographic information voluntarily provided by users
  • work authorization and immigration status
  • information contained in resumes and application answers that users choose to provide, which may include additional sensitive categories

Social login data. We offer the option to register using your existing Google account. If you choose to register this way, we receive basic profile information from Google — your name, email address, and profile picture — as described in section 7 below.

All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.

Information automatically collected. Some information — such as your Internet Protocol (IP) address and browser and device characteristics — is collected automatically when you visit our Services. This information does not reveal your specific identity but may include device and usage information. Analytics data is collected only where you consent to analytics cookies. Server logs and security-related data, including IP addresses used for rate limiting and abuse prevention, are processed as necessary to operate and secure the Services.

  • Log and usage data. Service-related, diagnostic, usage, and performance information our servers automatically collect, including IP address, device information, browser type and settings, pages viewed, searches, actions taken, and error reports.
  • Device data. Information about the computer, phone, tablet, or other device you use to access the Services, including browser type, hardware model, operating system, and system configuration information.
  • Location data.We collect approximate location derived from your IP address. We do not request access to your device's precise location and do not use GPS or similar location-tracking technologies.

Information collected from other sources. The only third party from which we receive personal information about you is Google. If you choose to sign in with your Google account, we receive your name, email address, and profile picture. We do not purchase personal information from data brokers, data providers, marketing partners, or affiliate programs, and we do not obtain information about you from public databases or social media platforms.

Google APIs. Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

2. How Do We Process Your Information?

We process your personal information for a variety of reasons, depending on how you interact with our Services, including:

  • To facilitate account creation and authentication and otherwise manage user accounts.
  • To deliver and facilitate delivery of services to the user.
  • To respond to user inquiries and offer support.
  • To send administrative information to you, including changes to our terms and policies.
  • To request feedback.
  • To send you marketing and promotional communications, in accordance with your marketing preferences. You can opt out at any time.
  • To protect our Services, including fraud monitoring and prevention.
  • To evaluate and improve our Services, products, marketing, and your experience.
  • To identify usage trends.
  • To comply with our legal obligations.
  • To generate tailored application materials. To create tailored resumes, outreach messages, and interview preparation using third-party AI services, which users review before use.
  • To match and rank job opportunities.To compare a user's resume and preferences against job listings and rank the most relevant opportunities.

3. What Legal Bases Do We Rely On?

We process your personal information only when we have a valid legal reason to do so — with your consent, to perform our contract with you, to comply with laws, to protect your rights, or to fulfil our legitimate business interests. Where we rely on consent, you may withdraw it at any time; withdrawal does not affect the lawfulness of processing carried out before withdrawal.

If you are located in Canada, we may process your information where you have given express consent, or where consent can be implied, and in limited circumstances permitted by law without consent — for example for fraud detection and prevention, for investigations, or where disclosure is required to comply with a subpoena, warrant, or court order.

4. When And With Whom Do We Share Your Personal Information?

We may share your data with third-party vendors, service providers, contractors, or agents who perform services for us and require access to such information to do that work. We have contracts in place with these third parties designed to safeguard your personal information; they cannot use it for their own purposes and must retain it only for the period we instruct.

The categories of third parties we may share personal information with are:

  • AI platforms
  • Cloud computing services
  • Communication and collaboration tools
  • Data analytics services
  • Data storage service providers
  • Performance monitoring tools
  • Sales and marketing tools
  • User account registration and authentication services
  • Website hosting service providers
  • Job boards and applicant tracking systems

Business transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.

International transfers. Our Services are hosted in the United States and Singapore. If you access the Services from another region, your information will be transferred to and processed in those countries. Where required, we rely on Standard Contractual Clauses as the transfer mechanism.

5. Do We Use Cookies And Other Tracking Technologies?

We use cookies and similar tracking technologies to collect and store your information. Some of these help us maintain the security of our Services and your account, prevent crashes, fix bugs, save your preferences, and support basic site functions. These are essential and are not subject to consent.

We also use analytics technologies to understand how the Services are used and to detect errors. These are loaded only where you consent to analytics cookies through our consent banner, and you can change or withdraw that choice at any time.

We do not display advertising on the Services, and we do not use advertising, retargeting, or cross-context behavioural advertising technologies.

6. Do We Offer Artificial Intelligence-Based Products?

As part of our Services, we offer products, features, or tools powered by artificial intelligence, machine learning, or similar technologies (collectively, "AI Products").

We provide the AI Products through third-party service providers ("AI Service Providers"), namely Anthropic and OpenAI. Your input, output, and personal information will be shared with and processed by these AI Service Providers to enable your use of our AI Products. You must not use the AI Products in any way that violates the terms or policies of any AI Service Provider.

Our AI Products are designed for the following functions:

  • AI applications
  • AI document generation
  • Text analysis
  • Natural language processing
  • AI predictive analytics

All personal information processed using our AI Products is handled in line with this Privacy Policy and our agreements with those third parties.

AI processing is integral to the Services. If you do not wish your information to be processed in this way, you may decline to use RoleBolt's AI-powered features, which may limit core functionality, or contact us at contact@rolebolt.com.

7. How Do We Handle Your Social Logins?

Our Services offer you the ability to register and log in using your Google account. Where you choose to do this, we receive basic profile information from Google — typically your name, email address, and profile picture.

Separately, you may choose to connect your Google account so that RoleBolt can send outreach messages on your behalf. This uses a send-only permission. We do not read, store, or transfer your mailbox contents, and we do not access your contacts or address book.

We use the information we receive only for the purposes described in this Privacy Policy. We do not control, and are not responsible for, other uses of your personal information by Google. We recommend you review their privacy notice.

8. How Long Do We Keep Your Information?

We keep your information for as long as necessary to fulfil the purposes outlined in this Privacy Policy unless a longer retention period is required or permitted by law. No purpose in this notice will require us keeping your personal information for longer than six (6) months past the start of the idle period of the user's account.

When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymise it, or, if this is not possible (for example, because it has been stored in backup archives), we will securely store it and isolate it from any further processing until deletion is possible.

9. How Do We Keep Your Information Safe?

We have implemented appropriate and reasonable technical and organisational security measures designed to protect the security of any personal information we process, including authenticated access, server-side authorisation checks, database row-level security, and encryption in transit. However, despite our safeguards, no electronic transmission over the internet or information storage technology can be guaranteed to be 100% secure. Transmission of personal information to and from our Services is at your own risk.

10. What Are Your Privacy Rights?

Depending on where you are located, you may have rights that allow you greater access to and control over your personal information. These may include the right to request access to and obtain a copy of your personal information, to request rectification or erasure, to restrict processing, to data portability, and not to be subject to solely automated decision-making. You may also have the right to object to processing.

RoleBolt's AI features rank and draft content for your review; they do not make automated decisions about you that produce legal or similarly significant effects.

Withdrawing your consent. Where we rely on your consent, you may withdraw it at any time by contacting us at contact@rolebolt.com.

Opting out of marketing. You can unsubscribe from our marketing and promotional communications at any time by clicking the unsubscribe link in the emails we send, or by emailing us at contact@rolebolt.com. We may still send you service-related messages necessary for the administration and use of your account.

Account information. You can review and update your profile information at any time in your account settings. To delete your account and the data associated with it, contact us at contact@rolebolt.com. We will action deletion requests within 30 days. Upon deletion we will remove your account and information from our active databases; we may retain limited information to prevent fraud, troubleshoot problems, assist with investigations, enforce our legal terms, or comply with legal requirements.

Cookies. Most browsers accept cookies by default. You can set your browser to remove or reject cookies, which may affect certain features of the Services.

11. Controls For Do-Not-Track Features

Most web browsers include a Do-Not-Track ("DNT") feature you can activate to signal your preference not to have data about your online browsing activities monitored. No uniform technology standard for recognising and implementing DNT signals has been finalised, so we do not currently respond to DNT browser signals. California law requires us to disclose this.

Global Privacy Control. We recognise and honour Global Privacy Control (GPC) signals. If you use a browser or extension that supports GPC, we treat it as a valid request to opt out of the sale or sharing of your personal information for targeted advertising purposes under applicable state privacy laws. 12. Do United States Residents Have Specific Privacy Rights?

If you are a resident of California, Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah, or Virginia, you may have the right to request access to and receive details about the personal information we maintain about you and how we have processed it, correct inaccuracies, get a copy of, or delete your personal information. You may also have the right to withdraw your consent.

Categories of personal information collected in the past twelve (12) months:

  • A. Identifiers — YES
  • B. Personal information as defined in the California Customer Records statute — YES
  • C. Protected classification characteristics under state or federal law — YES
  • D. Commercial information — NO
  • E. Biometric information — NO
  • F. Internet or other similar network activity — YES
  • G. Geolocation data (approximate, derived from IP address) — YES
  • H. Audio, electronic, sensory, or similar information — NO
  • I. Professional or employment-related information — YES
  • J. Education information (student records) — NO
  • K. Inferences drawn from collected personal information — YES
  • L. Sensitive personal information — YES (contents of email messages, account login information, citizenship or immigration status, and racial or ethnic origin)

We retain each of the above categories for as long as the user has an account with us, subject to the retention limit described in section 8.

Sale and sharing. We have not sold or shared any personal information to third parties for a business or commercial purpose in the preceding twelve (12) months. We have disclosed categories A, B, C, F, G, I, K, and L to service providers for business purposes. We collect and share personal information through analytics cookies (PostHog).

Your rights. These include the right to know whether we are processing your personal data; to access it; to correct inaccuracies; to request deletion; to obtain a copy of data you shared with us; to non-discrimination for exercising your rights; and to opt out of processing for targeted advertising, sale, or profiling with legal or similarly significant effects. Depending on your state you may also have rights to obtain lists of the categories or specific third parties to whom we disclosed data, to limit use of sensitive personal data, and to question how data has been profiled.

How to exercise your rights. Visit https://rolebolt.com/data-controls or email contact@rolebolt.com. We will honour Global Privacy Control opt-out signals. You may designate an authorised agent to make a request on your behalf; we may require proof of authorisation.

Verification. Upon receiving your request we will verify your identity. We will only use personal information provided in your request to verify your identity or authority to make it.

Appeals. If we decline to act on your request, you may appeal by emailing contact@rolebolt.com. We will inform you in writing of any action taken or not taken, with an explanation. If your appeal is denied, you may submit a complaint to your state attorney general.

California "Shine The Light". California residents may request, once a year and free of charge, information about categories of personal information we disclosed to third parties for their direct marketing purposes. We do not disclose personal information to third parties for their own direct marketing purposes.

13. Information About Third Parties

RoleBolt may collect and process limited professional information about individuals who are not users — such as hiring managers or recruiters — including name, job title, employer, public profile URL, and a hashed email address. This information is obtained from publicly available sources and is used solely to help users prepare and send job-application outreach. If you are such an individual and wish to access or delete this information, contact contact@rolebolt.com.

14. Google API Limited Use

RoleBolt's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy (https://developers.google.com/terms/api-services-user-data-policy), including the Limited Use requirements. Where you connect your Google account, RoleBolt requests permission to send email on your behalf solely to deliver outreach messages you have reviewed and approved. RoleBolt does not read, store, or transfer your mailbox contents, and does not use Google user data for advertising or to train generalised AI models.

15. India (DPDP Act)

If you are located in India, you have rights under the Digital Personal Data Protection Act, 2023, including the right to access a summary of your personal data and its processing, the right to correction and erasure, the right to nominate another individual to exercise your rights in the event of death or incapacity, and the right to grievance redressal. To exercise any of these rights, contact contact@rolebolt.com. RoleBolt processes personal data on the basis of your consent and for the legitimate purpose of providing the service you have requested.

16. Do We Make Updates To This Notice?

We may update this Privacy Policy from time to time. Each published version is identified by the version number and date at the top of this page, so you can always tell which version applies. If we make material changes, we will notify you either by prominently posting a notice or by sending you a notification directly. We encourage you to review this Privacy Policy frequently.
